Managing Users
As an admin, you can manage users in your congregation, including inviting new users, changing roles, and managing permissions.
User Roles
Section titled “User Roles”PubCounter has three permission levels:
| Role | Capabilities |
|---|---|
| User | Count publications, submit counts, create reorder requests |
| Admin | User abilities + approve counts, manage users in congregation |
| Super Admin | Admin abilities + manage publications, Kingdom Hall settings |
Viewing Users
Section titled “Viewing Users”To see all users in your congregation:
- Go to Admin → Users in the navigation
- View the list of users with their roles and status
- Use filters to find specific users
Inviting New Users
Section titled “Inviting New Users”Access Key Method
Section titled “Access Key Method”New users join using your Kingdom Hall’s access key:
- Share the access key with the new user
- They create an account at pubcounter.app
- During signup, they enter the access key
- They select your congregation
- Their account is created with “User” role
Verifying New Users
Section titled “Verifying New Users”When a new user joins:
- Review their account in the Users list
- Verify they’re a legitimate congregation member
- Assign appropriate language permissions
- Consider promoting to admin if needed
Changing User Roles
Section titled “Changing User Roles”-
Go to Users
Navigate to Admin → Users.

Find the user
Search or scroll to find the user.

Edit role
Click on the user to open their profile, then select “Edit Role.”

Select new role
Choose User, Admin, or Super Admin (if you have permission).

Save changes
Confirm the role change.
Managing Language Permissions
Section titled “Managing Language Permissions”Users can only count publications in their assigned languages.
Assigning Languages
Section titled “Assigning Languages”- Open the user’s profile
- Go to “Language Permissions”
- Select the languages they should access
- Save changes
Language Permission Guidelines
Section titled “Language Permission Guidelines”- Literature servants - Usually need access to all congregation languages
- Regular publishers - May only need their primary language
- Multi-language support - Assign additional languages as needed
Removing Users
Section titled “Removing Users”To remove a user from your congregation:
- Open the user’s profile
- Click “Remove from Congregation”
- Confirm the removal
User Activity
Section titled “User Activity”Track user activity to ensure active participation:
- Last login - When they last accessed PubCounter
- Last count - When they last submitted a count
- Total counts - How many counts they’ve submitted
Best Practices
Section titled “Best Practices”When Onboarding Users
Section titled “When Onboarding Users”- Verify identity - Confirm they’re congregation members
- Assign correct languages - Match their service assignments
- Provide training - Direct them to documentation
- Start with user role - Promote to admin only when needed
Managing Access Keys
Section titled “Managing Access Keys”- Change periodically - Update the access key if it’s been shared too widely
- Don’t post publicly - Keep keys within the congregation
- Track who has access - Maintain awareness of who can join
Role Assignments
Section titled “Role Assignments”- Minimum necessary access - Don’t over-assign admin roles
- Multiple admins - Have at least 2 admins in case one is unavailable
- Document assignments - Keep records of who has what role
Troubleshooting
Section titled “Troubleshooting”User can’t log in
Section titled “User can’t log in”- Verify they completed email verification
- Check if their account is active
- Have them try password reset
User can’t see publications
Section titled “User can’t see publications”- Check their language permissions
- Verify they selected the correct congregation
- Ensure publications exist for their languages
User has wrong role
Section titled “User has wrong role”- Admins can change roles for users in their congregation
- Contact a super admin for cross-congregation changes
